Harvard Billing Agreements

Harvard Billing Agreements

To approve an outgoing trainee billing agreement, SPA needs the completed billing agreement template (provided by SPA) with the completed nomination declaration for the covered trainee. Detailed billing agreements make it easy to reimburse Harvard University staff and students who are working on a sponsored project at another institution. Detailed billing agreements are in place at GMAS and OSP Research Finance completes the billing. The adoption of the guidelines on billing agreements is that the staff covered by the settlement agreement has been included in the budget and that the fellow and the non-grantee institution have agreed that a settlement agreement is appropriate at the time of the offer. A settlement agreement shall not be taken into account in the conditions of the main allocation to the institution which is not granted; it is only a mechanism for the scholarship institution to reimburse the salary and marginal grades of certain project staff. If you have any questions or concerns while preparing the billing agreement, please contact OSPProposalAssistance@harvard.edu. Billing agreements are used to reimburse non-Harvard staff and students at another institution who are working on a sponsored project at Harvard University. The management and monitoring of outbound billing agreements, including invoicing, is the responsibility of the division/administrative unit at the local level and is not established in GMAS. Did you know that inbound billing agreements* can now be implemented at GMAS and co-billed by OSP Research Finance? Please get an idea of the new process in GMAS.

This zoom webinar details the new GMAS feature, released in early September, including the roles and responsibilities of departments, pre-awarded offices, and research finance. If the PI or investigator of a new application is not yet a Harvard employee and does not have access to Harvard systems, including GMAS and OAR. Fill out a «Person of Interest» (POI) form.
